Bright Minds Tutoring is exploring the use of Artificial Intelligence (AI) to support the quality and consistency of our tutoring services.

With your consent, your child’s tutoring session may be audio recorded and processed using AI to create a transcript or summary. This may help the tutor record:

• skills and concepts covered;
• learning activities and strategies used;
• areas of understanding;
• areas requiring further support; and
• topics to revisit in future sessions.

The information will be used solely to support your child’s learning, educational planning and record-keeping.

What will be recorded?

The recording may capture the audio conversation between your child and their tutor. AI-generated transcripts or summaries may contain errors and will be reviewed using the tutor’s professional judgement.

How will the information be used?

Recordings, transcripts and summaries may be accessed by:

• the tutor conducting the session;
• authorised Bright Minds Tutoring staff supporting the student; and
• Bright Minds Tutoring for educational planning and record-keeping.

The information will not be used for advertising, promotional material or public distribution without separate written permission.

Privacy and storage

Bright Minds Tutoring will take reasonable steps to protect recordings, transcripts and student information from unauthorised access.

Information will be retained only for as long as reasonably necessary for these purposes and securely deleted when no longer required, subject to applicable legal or record-keeping requirements.

Where an external AI transcription service is used, recordings may be securely transmitted to that service to generate the transcript. Bright Minds Tutoring will take reasonable steps to use reputable services with appropriate privacy and security settings.

Voluntary consent

Participation in AI-assisted recording is completely voluntary. Choosing not to consent will not affect your child’s access to tutoring or the quality of their sessions. Sessions will proceed without AI recording if consent is not provided.

You may withdraw consent at any time by contacting Bright Minds Tutoring. Withdrawal will apply to future recordings; information already incorporated into educational records may not be able to be retrieved or deleted where retention is required or permitted.
